Conference Center Room Usage Guidelines
Overview
North Oaks Health System is pleased to provide conference and meeting spaces
to promote community collaboration in keeping with our mission to improve
lives every time and with every touch.
Meeting space is available at the following facilities:
E. Brent Dufreche Conference Center
Located within North Oaks Diagnostic Center

Monday through Friday: 7:00 a.m. – 9:00 p.m.
Saturday and Sunday: 8:00 a.m. – 5 p.m.
North Oaks Rehabilitation Hospital Classroom and Conference Room

Monday through Friday: 8:00 a.m. – 5:00 p.m.
North Oaks-Livingston Parish Medical Complex Conference Center
17199 Spring Ranch Road
Livingston, Louisiana
Monday through Friday: 8:00 a.m. – 5:00 p.m.
Reservation Priorities
The following types of not-for-profit organizations are eligible to schedule
an event subject to availability and applicable fees:
- Healthcare-related, not-for-profit organizations (i.e. support groups,
etc.) will not be charged a room usage fee. Charges may apply for catering
and audiovisual support as requested.
- Non-healthcare-related, not-for-profit organizations may be charged a room
usage fee. Charges may apply for catering and audiovisual support as requested.
Reservation Requests
Reservations are required and accepted a minimum of 30 days in advance.
We will review the request and respond to the person making the query
within 5 business days of receiving the form.
All approved reservations must begin and conclude within the allotted times.
Reservations are considered tentative until confirmed and applicable fees are paid.
Room Set Up and Breakdown
Nothing may be taped, pinned, tacked, etc. to walls, doors, ceilings or
floors. Tables, chairs and paper table cloths are available upon request
and are included in the rate for the room. All set-up and breakdown of
events must be performed by North Oaks Health System personnel. A nominal
cleaning fee may be incurred if room(s) are left in disarray (outside
food and drink has not been cleaned up).

Fee Schedule
The following fees will apply for a minimum of 4 hours. If room is requested
in excess of the 4-hour period, prorated fees are charged according to
the time requested. Fees must be paid within 72 hours after the room(s)
is booked, or the request will be cancelled.
All
not-for-profit organizations that are
non-health-care-related will be charged as follows:

One room - $150, after 4 hours, each additional hour will be charged a rate of
$37.50 per hour.

Two rooms - $300, after 4 hours, each additional hour will be charged a rate of
$75.00 per hour.

Three rooms - $500, after 4 hours, each additional hour will be charged a rate of
$125 per hour.
Credit card, cash and checks made payable to “North Oaks Health System”
are accepted.
Audiovisual (A/V)
All rooms are equipped with Wi-Fi access. Based on the user’s needs
listed on the Reservation Request Form, we will determine the level of
A/V support necessary.
A fee of $100 per event may be assessed for all organizations requesting
the use of A/V equipment other than the TV/DVD cart.
Catering
- Outside food/beverage is allowed.
- Alcohol is not permitted.
- A North Oaks Catering Menu is available upon request.
- If North Oaks is catering the event/meeting, there will be no table service.
- All external groups must keep food, refreshments and registration tables
inside the room(s) reserved.
- In the event of a cancellation, a notice of three business days must be
given for a full refund.
- A 50% deposit must be paid in advance when utilizing North Oaks catering services.
Cancellation Policy
Cancellations must be made at least 72 hours in advance of reserved date
and time to receive a refund of advance payment.

Security
For emergency assistance, call 911.
Smoking
North Oaks Health System is a smoke-free environment. Smoking, electronic
cigarettes, tobacco, etc. are not allowed on North Oaks Health System campuses.
Noise Levels
In consideration for our patients, staff and other guests, noise levels
should be kept to an acceptable level.
